This Privacy Policy explains how we collect, use, share, and safeguard your personal and society-related information when you use the Maintenix app—a community management platform for apartment societies, associations, and gated communities.

Information We Collect

Personal Information:

We collect your name, email address, phone number, apartment/flat number, block/building, role (e.g., resident, admin), profile photo, and identity proof details as required for registration, verification, and communication.

Society & Transaction Data:

We store and process your society membership details, payment history, maintenance dues, facility bookings, complaints, feedback, notices, event participation, and poll responses to provide and improve app services.

Device & Usage Data:

We collect device information (model, OS, unique ID), app version, crash logs, and in-app usage analytics for performance improvement and troubleshooting.

Uploaded Documents:

Users and admins can upload documents such as payment receipts, notices, meeting minutes, ID proofs, and images for society management and verification. These files are stored securely and are accessible only to authorized users and relevant society administrators.

How We Use Your Data

• To authenticate users and provide secure access to society records and features.

• To enable admins and management committees to manage payments, facilities, expenses, notices, events, polls, and resident communications.

• To send you notifications and updates (e.g., due reminders, facility approvals, announcements).

• To process service requests, complaints, and feedback.

• To analyze app usage for improving features and resolving technical issues.

Data Sharing & Storage

For One-Time/Lifetime Clients:

All data is stored in the client’s own dedicated Firebase project/database and is not accessed or shared by Zenocta Solutions.

For Subscription Clients:

Data is securely stored in Zenocta Solutions’ managed Firebase project and is accessible only to authorized users and administrators of the client society.

Third-Party Services:

We may use Firebase (Google), analytics providers, and secure cloud storage for authentication, data storage, performance monitoring, and analytics.

We do not sell or share your personal data with advertisers or unrelated third parties.

Data Security

• All data transmission uses encrypted HTTPS connections.

• Access is managed by role-based authentication and authorization in Firestore.

• Uploaded documents and images are securely stored with access controls.

• Internal audit logs track access and actions within the app.

Your Rights

As a Maintenix user, you have the right to:

• View, update, or delete your profile and personal information.

• Request export or permanent deletion of your account by contacting our support team.

• Manage your notification preferences in the app.

Children’s Privacy

Maintenix does not knowingly collect or solicit personal data from anyone under the age of 18. If you believe a minor has provided personal information, please contact us to request removal.

Changes to This Policy

We may update this Privacy Policy periodically. Any material changes will be communicated via in-app notifications or email. Continued use of Maintenix after changes constitutes acceptance of the revised policy.
